Label and save mails locally?

Hello

I've been looking for a way to sort mails, and found your forum. Hope someone out there knows a way!

Where i work, we use network drives for a lot of documents and 'case handling'. We've sorted them by number, like a case have a complete folder called "19-005 subject", where 'subject' could be the name of the case, so it's maybe called "19-005 insurance" for instance.

What we are looking for, is a way to put emails locally in those folders. So if one of my colleagues gets a mail with something about insurance, they simply label the email with insurance, and the email (plus attachment) gets copied to that folder, so other people in the same folder, can see the email on a later date. Is this feature possible? I've been googling a lot of things, but with nothing coming up. We use Zimbra as our server and everything from zimbra web-client to outlook to receive the mails, but are willing to stick with one client, if it can do the trick. I've also looked at CRM systems, but they just seem like they are only meant for sale companies. Am I completely wrong?

Hope for someone clever out there, with more knowledge in the field, than me!

You can use Sylpheed as an MUA to perform virtually any Action desired on a message. Set the Action to call a terminal to run a custom script to mv/move a message, or a group of messages to any accessible local/network folder using any name (eg. foo.subject-bar.date) as the output.

Welcome to the forum, steffenhn.

Mhonarc works for me. It's a perl script, hence, should work with any operating system.

What it does is convert E-Mail messages into web pages creating date and thread indices in the process. The messages can then be accessed (including attachments) with a(ny) browser.

By the way, it's also free.

I tried Mhonarc as you suggested Jacinto, but it just seems very complicated. The fact that it isn't just a simple installation, makes it out of my reach

I was thinking more of a solution where maybe all the network folders is available in the mail client, and when you put a mail into one of the drives, it dissapears from the inbox of the mail. Does it make sense? Again, thank you very much for the suggestion!

Yes, Mhonarc does have a high learning curve (especially if you're not used to the command line).

I'm not aware of any program that works as you described you're wishes. As adamlau suggested and depending on your MUA, you might be able to set-up filters that save received messages to folders -- but you still have to set up the filters manually.

If you use Thunderbird, look through the extensions or add-ons on the Mozilla.org web site. For Outlook, I would look in the Slipstick.com web site.
